Applicant Tracking and Position Management

The University of Nebraska is returning to PeopleAdmin for Applicant Tracking and Position Management effective December 1, 2025. This change is in response to campus feedback related to operational needs and efficiencies.

Starting December 1
  • All job postings and position management submissions should be input into PeopleAdmin.
  • The previous routing and workflow process within PeopleAdmin will be utilized until it can be aligned with the streamlined efforts put in place in the Position Management Tool and SuccessFactors.  

Job postings already in SuccessFactors will continue in that system until the search process is complete. Units may elect to move postings from SuccessFactors to PeopleAdmin by working with their HR Facilitator.

Changes from SuccessFactors that will continue in PeopleAdmin
  • Resumes, cover letters, or other documents may be requested on any type of search (O/S, M/P, Faculty).
  • Applicant logs are required for all regular (non-temporary) positions (O/S, M/P, and Faculty) and should be attached to the email sent to request approval of the short list:
    • O/S Staff Positions:  Marcy Studsdahl
    • M/P Staff Positions:  Institutional Equity and Compliance
    • Faculty Positions: Institutional Equity and Compliance
  • Temporary and On-Call postings do not require short list approval.  Hiring officials should maintain records of the search process in accordance with the Records Retention policy.
  • Reference checks that include a prior employer must be performed on the final applicant (or more than one final applicant) prior to any hiring event (new hire or transfer).  Documentation of the reference check(s) will be maintained outside the system with other search documentation by the hiring official.  PeopleAdmin does not currently have the ability to attach documents to requisitions or applicants.  See Reference Checks in Recruitment and Selection Manual for information and reference check form.

The UNL HR team is working to make some improvements to PeopleAdmin over the next few months, and we will notify users if changes occur. Updated instructions for using PeopleAdmin are being created over the next few weeks and will be posted on Business Central when ready.

What about searches currently posted in SuccessFactors?

Searches currently posted in SuccessFactors will be allowed to continue in SuccessFactors through completion. 

Will this transition impact how our jobs are shared on job boards like Indeed or LinkedIn?

We currently have both sources (PeopleAdmin and SuccessFactors) set up to post through Indeed, LinkedIn, NE Works, and the Higher Ed Recruitment Consortium (HERC). Applicants who are searching for jobs via those sites will continue to see jobs from both sources.

How will applicants know where to look for job postings from the UNL website?

We have posted a notice on the UNL HR webpage that informs applicants that we are currently using two job boards and advising them to check both. We are working to put a notice on the front page of both job boards that includes a link to the other site. 

What do I do for position descriptions that have been created or updated in PDM if I now need to post through PeopleAdmin?

All regular staff position requisitions must be created from the approved position description in PeopleAdmin. Contact your assigned HR Specialist, UNL HR Business Partner or IANR HR Specialist to transfer the updated information into PeopleAdmin. The HR team is working on transferring position description information from PDM back to PeopleAdmin over the next few weeks. Temps, On Calls, Faculty, and Administrator requisitions do not require an approved position description.

Where do I attach the Hiring Freeze Exemption form in PeopleAdmin?

Currently, we do not have the ability to attach documents to requisitions in PeopleAdmin. That documentation will need to be maintained outside the system.

How will we process pre-placement checks/contingencies (background checks, physicals, driving record reviews, etc.)?

All pre-placement checks will take place outside of the system. We will utilize the One Source invite process as we previously did; and all background checks will be conducted directly through One Source. HR will continue to manage the physical exam process and units are responsible for driving record reviews through UNL Fleet Management
