Prepare

Receive signed offer letter and confirm start date. Inform them of upcoming background check and paperwork to be done online.

Initiate background check. OneSource takes 3-4 days to process.

Confirm employment eligibility.

Whether in person or virtually via Zoom/Microsoft Teams, contact the new hire to schedule this appointment. Let them know they will need to have their SSN Card and a photo ID.

You can use this time to communicate the following:

  • Dress code
  • Help them plan their commute and where to arrive on their first day. If they plan to drive and park on campus, get them a complimentary 5-day parking permit. ADD Temporary Parking Permit Instructions. Let them know where to park on day one. Suggest they download the Nebraska app which includes parking and campus maps. IF:  Motorcycle or Electric car, provide relevant info. If not driving, give options for biking, such as where to keep bike and to register it with UNLPD.
  • Inform them that we are a Tobacco/Smoke-free, Alcohol/Drug-free, and Weapons-free Campus. Direct to policies for them to read.
  • Ask if they need childcare and lactation support working on campus and direct them to resources if needed

  • Give info on where they can learn about their benefits. Emphasize that they will have 31 days from their official hire date to complete enrollment.

Send new hire paperwork in Docusign

  • W-4
  • I-9
  • Direct Deposit. Requires a voided check or the front page of a bank statement (or other official bank document) that has the entire account number and routing number are printed on it.
  • Compensatory Time Agreement (Required for FLSA non-exempt, overtime eligible employees)

After Processing

NUID number. 

After the new hire paperwork is processed, provide your new hire with their NUID or how they may look it up by visiting TrueYou.nebraska.edu. 

Inform them that services/accounts will be activated within 24–48 hours after they claim or activate each process. 

Claim online identity.

Go to TrueYou.nebraska.edu to claim online identity and set the passwords for your TrueYou and MyUNL accounts. 

How to Obtain their NCard.

Online application at ncard.unl.edu. OR go to the NCard Office located in Room 121, of the Nebraska Union at 14th & R Street. You will need to present one form of government issued photo ID. This ID can be issued by federal, state or local government agencies provided it contains a photograph, name and date of birth such as driver's license, passport, or military ID. 

How find their University Email address

Log into Firefly.nebraska.edu and click on Employee Self Service (ESS) > My Employment > Position Information, email will be listed in the Work Address section.
